Exporting data in MYOB is a straightforward and easily accomplished task as long as you pay attention to certain things and get them right. Here’s what you should keep in mind when you go through the exporting using MYOB:
- Basics
When it comes to data exporting, the ideal format to export data files in would be CSV format since they can be accessed and opened by other popular software programs. But you can also opt for exporting the company files as tab-separated files. Much like when importing, the process of exporting also requires certain fields to be matched to records and depending on the data type you’re transferring, they can be indicated by either asterisks or carets when in the export window. There are many data types that can be exported, including accounts/customers lists, customised forms, other MYOB financial files and more!
- Select
Locate the File menu and look for your Import/Export assistant. This will open up the window where you can choose the Export data option. Pick that and select Next so that you will be able to choose the data type that you want exported from the list that comes up. There may be additional options for you to complete in order to filter the data necessary for your exporting. Choose if you want the data to be separated with tabs or commas, decide if the first row will have field headers and the order in which to be exported. If you want field headers, you can add them from the available fields area.
- Arrangements
Before exporting, ensure that all your data fields have valid matching fields, especially the ones that appear with asterisks or carets. If you have to remove a field name from fields to export, choose the name and use the remove option. If you want to export everything, choose Add all. Arrange the fields of the data as you wish, but make sure they match up.
- Export
Check to make sure that the selected fields match up. Once you are certain that this is what you wish to export, simply choose the Export option. This will then enable you to select a location to save your file in. Choose folders or destinations that are easily accessible to you and name your file clearly before choosing save. Your data will then be exported and saved in the form of a text file, ready for you to use.
- Double check
Once the exporting process is complete, you will have your file ready. Double check to make sure that all the relevant and necessary data you require is complete before your close your software. Make sure to scan your file just in case to make sure that there is no chance of viruses or bugs in your exported file.
