5 Microsoft Word Styles Functions You Should Know

For users who require both function and design, Microsoft Word is the ideal editing software for you. Installed with custom design capabilities for users, Microsoft Word enables everyone to easily customise and add a personalised touch to their documents. If you would like a quick and easy way to brighten up your own Word documents, here are 5 Microsoft Word style functions you should experiment with:

1. Borrowing Styles

Microsoft Word allows users to copy formatting from other documents to their current one as a method of borrowing styles functions. This saves users the time from having to recreate them. Launch your document template organiser and make use of the developer tab. To do so, choose your file tab and select options. Once prompted, choose customise ribbon and check the developer section. Under your developer tab, choose document template and select organiser. You can then choose the styles tab and open another document within this pane, copy the styles you wish to use and close. The copied styles will then be accessible in your Microsoft Word style gallery.

2. Changing Format into Style

Format a text paragraph the way you want the style to emulate and choose your Home tab. Locate the styles gallery drop down and choose your Save selection as new quick style option. Make sure to come up with a clear name for this newly created style and choose Ok so that Microsoft Word will automatically save and display it into the styles gallery.

3. Modifying Existing Styles

If there are already existing styles that are close to what you want, you can decide to just modify them for use instead. You can do this by right clicking on the style you want and selecting the modify option, you will be led to the dialog box that allows you to modify the style. Make any and all formatting changes. For convenience purposes, you can also add your modified style to the styles gallery and apply it to your current Microsoft Word document or to all documents.

4. Picture Style Workaround

At this moment, there are limited options when it comes to creating or modifying styles for a picture for quick formatting. However, there is a workaround you can use to accomplish something of similar effect. Choose the picture you want styles applied to and select your picture tools tab. Once done, select the format option and apply formatting with regards to text wrapping. Next, select your image again and choose Insert. Look for the quick parts option and choose to save the selection to your quick part gallery. Designate a name for your picture and save. You can subsequently add this formatted picture into your Microsoft Word documents by choosing Insert and hitting quick parts. You can then change the image by right clicking and selecting change picture- this preserves the existing format while changing the image only.

5. Clean up

Another important Word style function is to remove existing format completely and quickly whenever the occasion arises. Highlight all text and hold down CTRL and Space on your keyboard to remove special formatting. Do note that this removes only additional formatting but still allows your texts to retain their associated styles. If you want everything gone, press the clear formatting command that can be found in the styles gallery section of Microsoft Word.
