How To: Link and Embed Excel Worksheets In Microsoft Word

Do you have to manage a lot of data that you have trouble fitting into Microsoft Word? Have trouble pulling up these information while presenting? Not to worry, did you know that you can actually create links/embed your Excel worksheets into your Microsoft Word documents? Yes that’s right! You can save yourself a lot of trouble by learning this essential step:
What to note

In order to create dynamic links from content between your Microsoft Word document and content in your Microsoft Excel workbook file, the content has to be inserted as objects in order for the user to work with it. When cells are inserted into your Microsoft Word document as an object, Microsoft Word will automatically run excel when the cells are double clicked on. You will then be able to use Excel commands when working with the content. If the entire excel workbook file is inserted into Word as an object, only one worksheet will be displayed at a time so in order to display another worksheet, double click and click to the worksheet you require.

Linking

Linked objects can have their information updated or changed if users decide to retrieve the source file and modify that since all linked data are stored in source files. Destination files (the Word file in this case) only serve to store locations of source files and project a linked data representation. If your Word file is taking up too much space, you can consider using linked objects instead since it minimises the amount of space it takes up. Microsoft Word updates linked files with the newest information, inclusive of changes, each time the Word document is opened.

However, updating settings can be changed for individually linked objects as a security measure to prevent data updates from untrustworthy sources. You can decide to change it so that the data is updated only when you choose to manually do so- a prompt to update will appear each time you open the file so the decision to update is always up to you.

To change to manual updating, choose the Microsoft office button and select prepare. You will then be able to choose the edit links to files option. Once done, you can select manual update under the update method for selected links section.

Embedding

Embedded objects on the other hand, can essentially be considered as part of the Word document upon insertion instead of being part of their source file. So be aware that if you decide to embed documents, the data will not be changed if you decide to update the source file. Only use this if you do not have to make any changes to source files.

Create new worksheets within the Word document so that it is inserted in the form of an embedded object. Place your insertion point where the worksheet should be located and choose your Insert Tab. You will then be able to see a tables group of options. Choose table and select Excel spreadsheet. You can then fill the worksheet with the necessary information.

Insertion

Open both your Microsoft Word and Excel documents that you want to link or embed. Select your worksheet/cell range or chart and copy it. Then go to your Word document and select the location in which you want the data. Under the home tab, choose the clipboard group and look for Paste Special (arrow under Paste). Choose As list and select Excel object. Now, choose paste to embed or paste link to link object.
